Getting Started With ClearSync
The ClearSync Quick Start Guide gives you a quick and easy way to start using the ClearSync applications on your handheld, your pC / desktop, and web browser to share & manage calendars and contact categories with colleagues, family, and friends via private, secure web-based communities.
The private, web-based ClearSync Communities are the channels through which you share calendars and contact lists (“resources”) with other ClearSync users. Community set up and resource sharing is managed from your password-protected, personal My ClearSync Home page.
The Calendar Manager and Category Manager features of the ClearSync Calendar and Contacts applications on your handheld and desktop allow you to create and designate the specific resources you wish to publish to the ClearSync Server for sharing with others through the communities you belong to. Shared resources and information updates are passed to / from the ClearSync Server by performing a HotSync + Sync to the Server or Wireless Sync / Wireless Refresh for handheld users and Sync to the Server for ClearSync Desktop Viewer only users

Since it’s helpful to have at least one calendar or contact list ready to be shared when you set up or join your first community, the first thing you should do is learn how to Publish your calendar and contact list resources.
You can use the Calendar Manager and Category Manager features of the ClearSync Calendar and ClearSync Contacts applications on both your handheld and your desktop and your desktop to publish resources that you create and own.
Desktop Only users and those who prefer to start by setting up ClearSync from their PC should go directly to the Publishing Calendars from the Desktop or the Publishing Contacts from the Desktopinstructions.
Publishing Calendars from the Handheld
Select Calendars to publish
Tip: The ClearSync calendar applications on your handheld and desktop allow you to create as many calendars as your device’s memory allows – depending, of course, on how much free memory your device has – for either sharing with other ClearSync users or for your own personal use. You can then view them side-by-side or “merged” and events can also be assigned to as many calendars as you wish, giving you a virtually unlimited range of options for how you’d like to organize, display, and share your calendars.
Alert: Do not attempt to create calendars in anticipation of those you expect other ClearSync users to share with you. When you and the people you wish to share with have successfully completed your joint community sharing setup, the calendars you each subscribe to will be automatically downloaded to your respective desktop and handheld applications when you synchronize to the ClearSync Server.
Note: ThecsCalendars application will automatically assign the handheld User name to the device’s default calendar and designate it as the ! Primary ClearSync calendar. Because there is a permanent link between the handheld built-in calendar and the csCalendars databases, even if you mark another calendar as the Primary one for display purposes, any changes made in one of these two applications will always be automatically recognized by the other.
Tips: Checking the <Read Only> box will publish the calendar and allow Subscribers to view it but not make any changes to it.
Checking the <Private Events> box will publish the calendar as Read Only and cause all Event Descriptions and Notes to display as “Private”. The actual Description and Notes content does not get synchronized to the ClearSync Server and therefore cannot be viewed by Subscribers.
Additionally, individual calendar event records marked <Private> do not get synced to the ClearSync Server and also cannot be viewed by Subscribers.
Tip:
Calendar color coding can only be set or changed by the calendar owner via the ClearSync Desktop Viewer’s Calendar Manager.
Connect your handheld to your PC / desktop, via its cradle or synchronization cable, and perform a full HotSync + Sync to the Server operation.
Enter your ClearSync User Name and Password when prompted.
Your published calendars have now been uploaded to the ClearSync Server where they're ready to be shared with others through the communities you belong to.
Publishing Contact Lists from the Handheld
Select Contact Lists to publish
Tip: While the default Palm Address Book / Contacts application built-in to your handheld is limited to 15 categories, not only does the csContacts application allow you to create up to 1000 categories for either sharing with other ClearSync users or for your own personal use – depending, of course, on how much free memory your device has, you can also assign individual contacts to as many categories as you wish.Though currently only one csContacts category can be viewed at a time, you can view them in whatever combination you wish in the ClearSync Desktop Viewer and Web Viewer applications, giving you a virtually unlimited range of options for how you’d like to organize, display, and share your contacts and their associated contact lists.
Alert: Do not attempt to create contact list categories in anticipation of those you expect other ClearSync users to share with you. You should also give unique names to any contact lists you wish to share to avoid possible confusion for example, family members might add their own initials to their respective “Personal” categories before publishing and sharing them. When you and the people you wish to share with have successfully completed your joint community sharing setup, the contact lists you each subscribe to will be automatically downloaded to your respective desktop and handheld applications when you synchronize to the ClearSync Server.

Publishing Calendars from the Desktop
Launch the ClearSync Calendar Manager
Select Calendars to publish
Click / highlight the calendar name you wish to publish.
Tips: Checking the <Read Only> button will publish the calendar and allow Subscribers to view it but they won’t be able to make any changes to it.
Checking the <Private> button will publish the calendar as Read Only and cause all Event Descriptions and Notes to display as “Private”. The actual Description and Notes content does not get synchronized to the ClearSync Server and therefore cannot be viewed by Subscribers.
Additionally, individual calendar event marked <Private> do not get synced to the ClearSync Server and therefore cannot be viewed by Subscribers.
Click the <Edit> button and then click <Change> to select a color for the calendar.
Click <OK>, then <OK> again.

Publishing Contacts from the Desktop
Launch the ClearSync Category Manager
Select Contact Lists to publish
Click / highlight the category / contact list name you wish to publish.
Tips: Checking the <Read Only> button will publish the contact list and allow Subscribers to view it but they won’t be able to make any changes to it.
Additionally, individual contact records marked <Private> do not get synced to the ClearSync Server and therefore cannot be viewed by Subscribers.
Tip: Contact List color coding can only be set or changed by the contact list owner via the ClearSync Desktop Viewer’s Category Manager.
Click the <Edit> button and then click <Change> to select a color for the calendar.
Click <OK>, then <OK> again.

The web-based ClearSync Communities are the channels through which you share calendars and contact lists (“resources”) with other ClearSync users. The Calendar Manager and Contacts Category Manager features of the ClearSync Calendar and Contacts applications on your handheld and desktop allow you to create and designate the resources you wish to Publish to the ClearSync Server.
Community set up and resource sharing is managed from your personal, password-protected My ClearSync Home page – simply create one or more communities and Share the desired calendars and contact lists to it, then invite the people you wish to have access to those specific resources to join. Once they have responded to the email invitation and joined the community, these people can then Subscrbe to the shared resources. They can also publish and share any resources they wish you and the other community members to have access to.
You can access your communities from your My ClearSync Home page by clicking the <Web View / house> icon on the ClearSync Desktop Viewer tool bar to automatically log in or entering your ClearSync User Name and Password in the Log In box on the wwwClearSync.com website home page. After completing the community set up and resource sharing process, you will only need to return to your My ClearSync Home page when there are new resources you wish to share or subscribe to, or you need to update your User Account Profile for a new email address.
The first Sync to the Server operation each community member performs after subscribing to shared calendars or contacts lists will download the resources to the ClearSync applications on their respective handhelds and desktops. Each subsequent synchronization or Wireless Sync / Refresh session you perform will update the information in your shared resources, causing any changes made locally on your handhelds or desktops to be stored on the ClearSync Server, waiting for the other community members to get them the next time they synchronize.
Log In To Your My ClearSync Home page
Launch the ClearSync Desktop Viewer.
Click the <Web View / “house”> icon on the Desktop Viewer toolbar to login directly to your My ClearSync Home page.
Note: The Web View operates as a dedicated web browser that is restricted to providing access to your personal My ClearSync Home and User Account pages. Because this feature is based on the Microsoft Internet Explorer technology that is embedded in the Windows operating system, please check your Windows Internet Options configuration settings before contacting ClearSync Support if you experience any difficulties with your Web View operations or performance.
Invite New Members to a Community
Under the “Invite New Members” section, enter a New Member Name and Email address.
Enter an optional message to this person in the Your Message text box.
If you wish this person to have full Administrative Rights over the community, click the <Admin> button.
Click the <Invite> button and the ClearSync Server will send an email to the specified address. Note that your email address will appear in the “From” field of this email invitation and it will open with any message you may have entered.
Note: Each Community Administrator has complete control over all aspects of the community: editing the Community Profile and deleting the Community, inviting and removing members, and unsharing any member’s resources.
Tip: Since ClearSync User Names, which cannot be changed, are displayed in the Community Members and shared Calendars and Contact Lists sections of the community page, we recommend that you encourage the people you invite to join the community who are not yet ClearSync users to select a ClearSync User Name you and they are comfortable with being viewed by the other community members when they create their ClearSync Account.
Clicking the <Join CommunityName> link in the “ClearSync Community Invitation” email you receive when someone invites you to join a community will launch a web browser window displaying the “Welcome, you have been invited to join a ClearSync Community” page with the following options:
Existing Users
Entering your ClearSync User Name & Password and clicking the <Login> button will log you in to the community home page that you have now joined.
New Users
Click the <register for a new ClearSync Account> link to be guided through the process of creating a ClearSync User Account, signing up for a ClearSync Free, Silver, or Gold subscription, and downloading and installing the ClearSync applications on your PC/desktop and handheld.
Note: You will be automatically joined to the community when you <Finish> creation of your User Account.
You’re now ready to Share your published calendars and contact lists and Subscribe to those that others have shared to the community.
Note: Community Invitations are only valid for one log in attempt and expire after 30 days.
Tip: To remove yourself from a community, click the <Communities> tab at the top of any My ClearSync Home page and then click the <Remove> link for the community you wish to leave. This will both remove all your shared resources from that community and also unsubscribe you from any resources the remaining members have shared with the community.
After publishing your calendars and contact lists to the ClearSync Server, you need to share them with the communities you belong to so the other community members get access to them.
Share Your Published Resources
Log In To Your My ClearSync Home page
Launch the ClearSync Desktop Viewer.
Go to The Web View
Click the <Web View / “house”> icon on the Desktop Viewer toolbar to login directly to your My ClearSync Home page.
Note: The Web View operates as a dedicated web browser that is restricted to providing access to your personal My ClearSync Home and User Account pages. Because this feature is based on the Microsoft Internet Explorer technology that is embedded in the Windows operating system, please check your Windows Internet Options configuration settings before contacting ClearSync Support if you experience any difficulties with your Web View operations or performance.
Go To The Community
Under the “My Communities” section, click the name of the community you wish to share resources with.
Share Your Resources
Under the “Share Resources” section, select a resource from the “Share this published resource to the community” pull down list.
Click the <Share> button.
Repeat the above steps for each calendar and contact list you wish to share with members of the community.
Tip:
To remove a resource you have shared this community, click its <UnShare> link. You can also remove your shared resources from the ClearSync Server, and hence from all the communities you have shared them with, by using your handheld or desktop Calendar Manager and Category Manager applets to <UnPublish> or <Delete> them and then performing a HotSync + Sync to the Server or Sync to the Server, as applicable. Note that deleting them will also remove them permanently from your ClearSync applications.
Subscribe to Shared Resources
Under the “Community Calendars” or “Community Contact Lists” sections, click the <Subscribe> link for the shared resource you wish to have access to.
Repeat the above step for each resource you wish to subscribe to.
Tip:
To remove a resource you have subscribed to, click its <UnSubscribe> link. You can also remove subscribed resources by using your handheld or desktop Calendar Manager and Category Manager applets to <Delete> them and then performing a HotSync + Sync to the Server or Sync to the Server, as applicable. Note that this will not remove these resources from the community, since they are owned and shared by other users.
If you have a handheld, make sure it is connected to your PC / desktop via its cradle or synchronization cable, then perform a full HotSync + Sync to the Server operation or, if you prefer for this particular sync session or are a desktop only user, click the <ClearSync / Synchronization> icon on the Desktop Viewer toolbar to Sync to the Server only.
You can now use the ClearSync applications on your handheld, desktop, and web viewer to view the calendars and contact lists you have subscribed to.
Public Resources are available to all ClearSync users and contain information of general interest such as calendars for sports, arts & cultural events, and international holidays and contact lists for airlines, rental cars, and hotels. The current Public Resources are for demonstration purposes only but both expanded content and the ability to post your own public resources will be made available in the future.
Under the “My Public Resources” section, click the <Browse ClearSync Public Resources> link.
Click the desired Public Resource group link, such as <Sports / Recreation> or <Travel>.
Click the <Subscribe> link for the resource you wish to have access to.
Repeat the above step for each resource you wish to subscribe to.
If you wish to subscribe to Public Resources in another group, click the < Return to Browse ClearSync Public Resources> link, then click the desired group and subscribe to the desired resources.
Tip:
To remove a Public Resource, click the <Manage My Public Resources> link under the “My Public Resources” section of your “My ClearSync Home” page and then click the <Unsubscribe> link for the resource you no longer want access to. You can also remove subscribed Public Resources by using your handheld or desktop Calendar Manager and Category Manager applets <Delete> them and then performing a HotSync + Sync to the Server or Sync to the Server, as applicable.
If you have a handheld, make sure it is connected to your PC / desktop via its cradle or synchronization cable, then perform a full HotSync + Sync to the Server operation or, if you prefer for this particular sync session or are a desktop only user, click the <ClearSync / Synchronization> icon on the Desktop Viewer toolbar to Sync to the Server only.
You can now use the ClearSync applications on your handheld, desktop, and web viewer to view the Public Resource calendars and contact lists you have subscribed to.
ClearSync Gold Subscribers can use ClearSync’s Wireless Refresh feature on your wireless enabled handheld, such as the Palm Treo, to update your shared calendar and contact list information directly with the ClearSync Server any time you wish from anywhere your wireless communications carrier provides you with access to the Internet -- all without having to perform a HotSync + Sync to the Server operation from a PC.
The Wireless Refresh feature allows you to select which resources and, for shared calendars the date range of events, that you wish to update for each refresh update session. ClearSync’s Wireless Sync™ feature, that will allow you to perform a full wireless synchronization of your shared resources, will be available in a future ClearSync release.
Notes: An active data plan with your wireless communications carrier that allows you to access the Internet directly from your wireless device is required in order for the Wireless Refresh feature to work.
Before you can successfully perform a Wireless Refresh, you must first perform a full HotSync + Sync to the Server operation each time you publish or subscribe to shared resources.
Wireless Refresh for Calendars
Prepare to Refresh
Select Start Date & End Date Range
Tap the <Start> field box to select the beginning of the date range for the calendars you wish to update.
Tap the <End> field box to select the end of the date range for the calendars you wish to update.
Tip: To limit the amount of data sent and received during the Refresh session, tap <Options> to bring up the Refresh Options dialog, check the <Throttling> box enter the maximum number of bytes you wish to be transmitted, then tap <OK>. Note that if the calendar data you have selected to refresh exceeds the maximum number of bytes, some of this selected data may not be updated.
Prepare to Refresh
Select Contact List Categories to Refresh
Tap the check box for each contact list / category you wish to update.
Tip: To limit the amount of data sent and received during the Refresh session, tap <Options> to bring up the Refresh Options dialog, check the <Throttling> box enter the maximum number of bytes you wish to be transmitted, then tap <OK>. Note that if the contacts data you have selected to refresh exceeds the maximum number of bytes, some of this selected data may not be updated.
View Information On Your Handheld
The basic viewing and editing functions of the ClearSync csCalendars and csContacts applications look and behave just like they do in the handheld’s built-in Date Book / Calendars and Address Book / Contacts applications you’re already used to – with the special ClearSync features added in, of course.
Tips: Though the ClearSync handheld application data bases are directly linked with those of their corresponding built-in applications, with changes in one application being automatically available in its “cousin”, we recommend that you use the ClearSync applications exclusively whenever possible to avoid unintended editing, syncing, or display problems for data stored on shared ClearSync resources.
Use your handheld’s <Menu> button to bring up the csCalendars and csContacts menu options.
Tap the <i> button in the upper right corner of the handheld application dialog boxes for Help about how to use the unique ClearSync application features.
Launch csCalendars
Tap the csCalendars icon on the handheld’s application View screen.
Select Calendars to View
Tips: If you haven’t yet created additional calendars or had the opportunity to subscribe to shared calendars and synchronized them to your handheld, tap <New> to create a temporary calendar so you can view it next to your personal calendar in Multiple Calendar mode.
Note: The csCalendars application automatically assigns the handheld User name to the device’s default calendar and designates it as the ! Primary ClearSync calendar.
Select Single / Multiple Calendar Mode
Launch csContacts
Tap the csContacts icon on the handheld’s application View screen.
Select a Contact List / Category to View
View Information On Your Desktop
The ClearSync Desktop Viewer is a standalone application and does not share data directly with other desktop PIMs (Personal Information Managers) on the same PC, such as Palm Desktop or Microsoft Outlook. Changes made with the ClearSync Desktop Viewer and on resources shared through the ClearSync Server get updated to other desktop PIMs only when you perform a HotSync + Sync to the Server operation with your handheld.
Tips: To avoid unintended problems with editing, syncing, or displaying data stored on shared ClearSync resources, we recommend that you use the ClearSync applications exclusively whenever possible
View Calendars
Select Calendars to View.
Tap the csContacts icon on the handheld’s application View screen.

Tips: If you haven’t yet created additional calendars or had the opportunity to subscribe to shared calendars and synchronized them to your PC, bring up the Calendar Manager dialog and click <New> to create a temporary calendar to view next to your personal calendar.
Notes: The handheld and/or desktop User Name, established when the ClearSync applications are first installed, is assigned to the default calendar which is also designated as the Primary DB (Date Book) ClearSync calendar.
ClearSync Calendars allows you to create as many calendars as you wish. It also allows you to assign individual events to multiple calendars.
Print Calendars
Select a Calendar View and Calendars to Print
Since the <Print> function outputs the current display, the first thing you need to do before printing is to select the desired <Calendar View> and the calendars you wish to print.
Preview the Print Output
To see a preview of what the print output will look like, click the <File> menu and select <Print Preview>.
Click the <Print> icon on the Desktop Viewer toolbar (or select <File><Print> menu option) to bring up the Print dialog.
If you wish to change any of the printer settings, such as which printer to use, printer <Properties>, Paper <Size> and <Source>, and Orientation (<Portrait> or <Landscape>), click the <Setup> button. You can also select the <Print Setup> option from the <File> menu.
Select print job (<Print Range>, <Print Quality>, and number of <Copies>) and calendar format options (<Calendar> or <Agenda> and the hours of the day to <Print from> and <Print to>).
Click <OK> to print.
Note: The <Agenda> format prints the events in a vertical list for both Day Views and the Week View; Month View cannot be printed in this format.
View Contacts
Select the Contacts View
Click the <Contacts View> icon at the far left side of the Desktop Viewer toolbar.
Select a Contact List / Category to View
In the “Selector Bar” on the right side of the Desktop Viewer display, click the contact list check box for the contact lists you wish to view either alone or together.
Note: ClearSync Contacts allows you to create as many contact list / categories as you wish. It also allows you to assign individual contacts to multiple categories.
Tips: To select which contact fields to display, click the <Select Contact Fields> button at the top of the contact lists / categories Selector Bar.
Use the Windows “drag-and-drop” feature to change the field display order by using your mouse to grab the field title and moving it to the desired location.
Adjust the field width by using your mouse to grab the right field divider line moving it to the desired size.
Print Contacts
Select the Contacts View
Since the <Print> function outputs the current display, after switching to the <Contacts View>, the first thing you need to do before printing is to select the desired contact lists / categories you wish to print.
Preview the Print Output
To see a preview of what the print output will look like, click the <File> menu and select <Print Preview>.
Print the Preview Output
Click the <Print> icon on the Desktop Viewer toolbar (or select <File><Print> menu option) to bring up the Print dialog.
If you wish to change any of the printer settings, such as which printer to use, printer <Properties>, Paper <Size> and <Source>, and Orientation (<Portrait> or <Landscape>), click the <Setup> button. You can also select the <Print Setup> option from the <File> menu.
Select print job (<Print Range>, <Print Quality>, and number of <Copies>).

Tips: Since the current version of ClearSync prints contacts in the same grid format they display in the Desktop Viewer, be sure to both size the selected fields carefully and not select more fields than will fit on the page in accordance with your printer configuration settings. Use <Print Preview> to check your selections.
You can also have more information for print each record by selecting the <Landscape> mode on the <Print Setup> dialog.
View Information On Your Web Browser
The ClearSync Web Viewer is a standalone web-based application that allows you to view and print the information currently stored in your published / shared and subscribed resources on the ClearSync Server. ClearSync Silver and Gold subscribers can view multiple calendars or any combination of contact lists simultaneously, while ClearSync Free subscribers can only view one calendar or one contact list at a time.
The ability to make changes directly to information stored on the WeSync Server will be added for paid subscribers in a future release.
Notes: The ClearSync Web Viewer applications require Java to be installed in your web browser. If Java is not installed or the version of Java installed not compatible, you will be prompted to access the appropriate website where you can download and install, at no charge, the necessary Java package.
Tips: To refresh the View, click the <Refresh> button at the bottom right of the Calendar Viewer display to update the information for any changes in your published / shared and subscribed resources that have been synchronized to the ClearSync Server. Click the <Auto Refresh> check box to have the displayed information be automatically updated each time changes to your resources are synchronized to the ClearSync Server .
You can use your browsers Print features to preview and print the selected calendars and contact lists.
Login To Your ClearSync Home Page
You need to be logged into you ClearSync User Account in order to use the ClearSync Web Viewer. To access your personal “ClearSync Home” page by either pointing a browser to the <www.clearsync.com> website and logging in or directly by clicking the <Web View> icon on the ClearSync Desktop Viewer toolbar.
View Calendars
Launch the Calendar Viewer
Click the <Calendar Viewer> button at the top of your ClearSync Home page.
Select Calendars to View
In the “Selector Bar” on the right side of the Calendar Viewer display, click the calendar check box for the calendars you wish to view either alone or together.
Select a Calendar View
Click the desired tab on the top left of the Calendar Viewer display to show the <Day>, <Side by Side>, <Week>, or <Month> view.
