Getting Started With ClearSync : Handheld

The ClearSync Quick Start Guide gives you a quick and easy way to start using the ClearSync applications on your handheld, your PC / desktop, and web browser to share & manage calendars and contact categories with colleagues, family, and friends via private, secure web-based communities.

Use this Quick Start Guide to learn how to:

  1. Put Your Calendars and Contact Lists on ClearSync Server

  2. Use ClearSync’s Wireless Refresh™ to Update Information on Your Handheld

  3. View Information in the ClearSync Applications on Your Handheld

NOTE:   The ClearSync Quick Start Guide assumes that you have successfully set up your personal ClearSync User Account, registered as a ClearSync Free, Silver, or Gold subscriber, and installed the ClearSyncapplications on your handheld and/or PC/desktop.

 1. Put Your Calendars and Contact Lists on ClearSync Server

  1. Put Calendars from the Handheld on ClearSync Server

  2. Put Contact Lists from the Handheld on ClearSync Server

Since it’s helpful to have at least one calendar or contact list ready to be shared when you set up or join your first community, the first thing you should do is learn how to put your calendar and contact list resources on ClearSync Server.

  1. Put Calendars from the Handheld on ClearSync Server

    1. Launch csCalendars

      • Tap the csCalendars icon on the handheld’s application View screen.

    1. Select Calendars to publish

      • Tap the <Calendar> icon in upper left corner of the screen to bring up the Calendar Manager screen.

      • Tap / highlight the calendar name you wish to publish, then tap <Edit>.

    Note:    ThecsCalendars application will automatically assign the handheld User name to the device’s default calendar and designate it as the ! Primary ClearSync calendar. Because there is a permanent link between the handheld built-in calendar and the csCalendars databases, even if you mark another calendar as the Primary one for display purposes, any changes made in one of these two applications will always be automatically recognized by the other.

    1. Check the <publish> box and tap <OK>.

    Tips:     Checking the <Read Only> box will publish the calendar and allow Subscribers to view it but not make any changes to it.

                Checking the <Private Events> box will publish the calendar as Read Only and cause all Event Descriptions and Notes to display as “Private”. The actual Description and Notes content does not get synchronized to the ClearSync Server and therefore cannot be viewed by Subscribers.

                Additionally, individual calendar event records marked <Private> do not get synced to the ClearSync Server and also cannot be viewed by Subscribers.

    1. Connect your handheld to your PC / desktop, via its cradle or synchronization cable, and perform a full HotSync + Sync to the Server operation.

      Enter your ClearSync User Name and Password when prompted.

      Your published calendars have now been uploaded to the ClearSync Server where they're ready to be shared with others through the communities you belong to.

  1. Put Contact Lists from the Handheld on ClearSync Server

    1. Launch csContacts

      • Tap the csContacts icon on the handheld’s application View screen.

    1. Select Contact Lists to publish

      • Tap the <Contacts> icon in upper left corner of the screen to bring up the Category Manager screen.

      • Tap / highlight the contact list / category you wish to publish, then tap <Edit>.

    1. Check the <publish> box and tap <OK>.

    Tips:     Checking the <Read Only> box will publish the category and allow Subscribers to view it but not make any changes to it.

                Additionally, Individual contact records marked <Private> do not get synced to the ClearSync Server and therefore cannot be viewed by Subscribers.

    Tip:     Contact List color coding can only be set or changed by the contact list owner via the ClearSync Desktop Viewer’s Category Manager.

    1. Connect your handheld to your PC / desktop, via its cradle or synchronization cable, and perform a full HotSync + Sync to the Server operation.

      Enter your ClearSync User Name and Password when prompted.

      The contacts you chose to put on ClearSync Server have now been uploaded where they're ready to be shared with others through the communities you belong to.

 2. Use ClearSync’s Wireless Refresh™ to Update Information on Your Handheld

  2. Wireless Refresh for Contact Lists

ClearSync Gold Subscribers can use ClearSync’s Wireless Refresh feature on your wireless enabled handheld, such as the Palm Treo, to update your shared calendar and contact list information directly with the ClearSync Server any time you wish from anywhere your wireless communications carrier provides you with access to the Internet -- all without having to perform a HotSync + Sync to the Server operation from a PC.

  1. Wireless Refresh for Calendars

    1. Launch csCalendars

      • Launch the ClearSync Desktop Viewer.


    1. Prepare to Refresh

      • Tap the <R> button in the lower right corner of the application display to bring up the Select Refresh Range dialog.


    1. Select Calendars to Refresh

      • Tap the check box for each calendar you wish to update.


    1. Select Start Date & End Date Range

      • Tap the <Start> field box to select the beginning of the date range for the calendars you wish to update.

      • Tap the <End> field box to select the end of the date range for the calendars you wish to update.


        • Tip:     To limit the amount of data sent and received during the Refresh session, tap <Options> to bring up the Refresh Options dialog, check the <Throttling> box enter the maximum number of bytes you wish to be transmitted, then tap <OK>. Note that if the calendar data you have selected to refresh exceeds the maximum number of bytes, some of this selected data may not be updated.

    1. Perform the Refresh

      • Tap <OK> to execute the Refresh update.


  1. Wireless Refresh for Contacts

    1. Launch csContacst

      • Tap the csContacts icon on the handheld’s Application View screen.


    1. Prepare to Refresh

      • Tap the <R> button in the lower right corner of the application display to bring up the Select Refresh Categories dialog.


    1. Select Contact List Categories to Refresh

      • Tap the check box for each contact list / category you wish to update.


        • Tip:     To limit the amount of data sent and received during the Refresh session, tap <Options> to bring up the Refresh Options dialog, check the <Throttling> box enter the maximum number of bytes you wish to be transmitted, then tap <OK>. Note that if the contacts data you have selected to refresh exceeds the maximum number of bytes, some of this selected data may not be updated.

    1. Perform the Refresh

      • Tap <OK> to execute the Refresh update.

      3. The basic viewing and editing functions of the ClearSync csCalendars and csContacts applications look and behave just like they do in the handheld’s built-in Date Book / Calendars and Address Book / Contacts applications you’re already used to – with the special ClearSync features added in, of course.

      Tips:     Though the ClearSync handheld application data bases are directly linked with those of their corresponding built-in applications, with changes in one application being automatically available in its “cousin”, we recommend that you use the ClearSync applications exclusively whenever possible to avoid unintended editing, syncing, or display problems for data stored on shared ClearSync resources.

    1. View csCalendars

      • Launch csCalendars

        Tap the csCalendars icon on the handheld’s application View screen.


      • Select Calendars to View

        • Tap the <csCalendars> icon in the upper left corner of the screen to bring up the Calendar Manager dialog.
        • Tap the check box for the calendars you wish to see side-by-side.
        • Tap <OK> to display the selected calendars in Day View - Multiple Calendar mode.


      • Select Single / Multiple Calendar Mode

        • Tap the <Day View> icon to toggle the display between Single, Multiple, and Merged Calendar modes.



        • Tap the <Week View> and <Month View> icons to toggle the display between Single and Multiple Calendar modes.





        • Tap the <Agenda View> icon to toggle the display between Single and Merged Calendar modes.



    1. View Contacts

      • Launch csContacts

        Tap the csContacts icon on the handheld’s application View screen.


      • Select a Contact List / Category to View

        • Tap the <csContacts> icon in the upper left corner of the screen to bring up the Category Manager screen.
        • Tap the Contact list / Category to select the one you wish to view.
        • Tap <OK> to display the selected category.
